How to Rush-Order a Bonfiglioli Gearmotor Without Regretting It: A 7-Step Checklist

Who This Checklist Is For

If a line is down and you need a Bonfiglioli gearmotor before Friday, this is for you. Seven steps. Each step has a checkpoint. Don't skip step 4, even if you're sure.

In my role coordinating emergency replacements for a Bonfiglioli distributor, I've handled maybe 200 rush orders. Maybe 180—I'd have to check the CRM. A large part of the delayed ones were delayed because someone guessed instead of verified.

Step 1: Pull the Nameplate Data

Take a photo of the nameplate and write down the model number, serial number, ratio, output speed, input type, mounting position, and shaft size. If the plate is corroded, look for a stamped part number on the housing. On the phone, "it's a big grey one" doesn't help. "It's an HDO 423" does. Simple.

Checkpoint: Have all nameplate data in an email or text before you call anyone.

Step 2: Decide Whether You Need a Gearmotor, a Hydraulic Motor, or a Hydraulic Drive Unit

Search the phrase "bonfiglioli hydraulic motor" and you'll see why this matters. The results cover a few different things:

  • A hydraulic motor that can be coupled to a Bonfiglioli gearbox.
  • A Bonfiglioli wheel drive or track drive that includes a hydraulic motor inside.
  • A Bonfiglioli gearbox with an adapter for a customer-supplied hydraulic motor.

Those are not interchangeable. I once heard a customer say "we need a hydraulic motor, like the one that turns the track." What he actually meant was a complete track drive assembly. The vendor heard "motor only." Result: wrong part, two days lost. We only realized it when the flange didn't line up.

Checkpoint: Define the input. Is it electric? Hydraulic fluid? A shaft from an existing motor?

Step 3: Confirm Shaft Diameters and Mounting Positions

This is where most rush orders die. The model number may be right, but the output shaft is hollow instead of solid, or the mounting position is M4 instead of M2. The third time we ordered the wrong quantity, I finally created a verification checklist. Should have done it after the first time.

Measure the shaft with a caliper, not a tape measure. A 28mm shaft and a 25mm shaft look similar in a photo. Bonfiglioli catalogues use mounting positions like M1-M6. Take a photo of the current unit from the side and write "input at top / output facing north" in plain language.

Checkpoint: Solid or hollow shaft? Keyway? Flange? Feet? Which mounting position?

Step 4: Check Whether the Real Problem Is a Universal Joint Drive Shaft

This is the step most people ignore. Sometimes a machine looks like the gearbox is failing, but the vibration comes from the universal joint drive shaft between the motor and the driven shaft, or between the gearbox and the load. A worn universal joint drive shaft can produce noise, vibration, and inconsistent movement that feels like gearbox trouble.

Is it worth checking? Absolutely. Swapping a universal joint drive shaft costs less and can take a couple of hours. Replacing a Bonfiglioli gearbox takes longer, costs more, and may not fix the machine. What I mean is: verify before you spend emergency budget on the wrong part.

I only believed this after ignoring it once. A client called with a "bad Bonfiglioli reducer," insisted on rush delivery, and paid for express freight. The "failed" gearbox was fine. The universal joint drive shaft on the output side was the problem.

Checkpoint: Lock the machine, disconnect the coupling or joint, and turn the gearbox by hand. If the gearbox rotates smoothly and quietly, start looking at the universal joint drive shaft.

Step 5: Don't Mix It Up With a nema17 Stepper Motor

This sounds odd, but it happens. People in a hurry google broad terms like "what stepper motor" or "nema17 stepper motor" while forgetting that a Bonfiglioli industrial gearmotor is not a stepper motor.

A NEMA17 stepper motor follows the NEMA standard: a 1.7-inch square mounting face. It's used in small automation, 3D printers, and lab equipment. It produces a few tens of ounce-inches of torque. A Bonfiglioli industrial geared motor, on the other hand, is a heavy-duty machine with a service factor, designed to run for years in tough environments. They are not substitutes.

If you're designing a small motion control axis and searching "what stepper motor should I use?"—this isn't a Bonfiglioli question. If you're replacing a failed industrial drive, a nema17 stepper motor isn't the answer either.

Checkpoint: Know exactly which actuator class you need before you call engineering.

Step 6: Use Bonfiglioli Engineering to Verify the Replacement

Once you have the nameplate, shaft dimensions, and a clear description of the failure, contact Bonfiglioli engineering or a distributor who knows Bonfiglioli engineering support. Give them the data and ask three questions:

  1. Does this model number match the specified ratio and service factor?
  2. Is the mounting position available with the exact flange/hollow shaft arrangement?
  3. Is there a current alternative part number?

Careful with the word "direct replacement." If a seller says "direct replacement for Bonfiglioli," ask for the dimensional drawing. Per FTC guidelines, claims like that have to be substantiated—but you should still check the drawing yourself. Don't get sold a similar-looking gearbox with a different center distance.

Checkpoint: You have a drawing or datasheet that matches your nameplate and mounting dimensions.

Step 7: Give a Specific Ship Date, Not "ASAP"

I say "ASAP." The vendor hears "at their convenience." Result: a two-week delay. If you've got a critical line down, say: "I need this shipped by Thursday night. What's the fastest option, and can you confirm in writing?" This forces a real answer. If the premium for expedited freight bothers you, think about the cost of production downtime. The $800 extra often pays for itself in one hour.

Small orders deserve the same treatment. The $200 gearmotor that keeps a packaging line running is as valuable as a $20,000 contract. A good supplier won't treat it like a nuisance.

Checkpoint: You have a confirmed ship date and a purchase order that includes the full part number and mounting position.

Pitfalls to Avoid

  • Ordering from a photo without the model number.
  • Assuming "hydraulic motor" means the whole Bonfiglioli track drive.
  • Replacing a gearbox when the universal joint drive shaft is the fault.
  • Searching "nema17 stepper motor" when you actually have an industrial gearmotor failure.
  • Buying a "fits Bonfiglioli" lookalike without checking the drawings.
  • Asking "what stepper motor?" before you've identified the actual driven load.

Honestly, I'm not sure why some parts get ordered wrong more than others. My best guess is stress. Under time pressure, people simplify and guess. The checklist is your anti-shortcut. Use it.
